Export Your Viva Insights Data

The calculator accepts a single file format: a Viva Insights person query export. It is the only export with one row per person per week, which is what true Usage Threshold cohorts require.

Export directly from Viva Insights

Gives one row per person per week, so the calculator can compute true Usage Threshold cohorts (Power, Habitual, Novice, Low, Non-users) using the same 12-week rolling average and 9-of-12-weeks habit rule as the Super User Adoption report.

  1. Go to analysis.insights.cloud.microsoft and open the Analysis results page
  2. Click Create analysis, select Person query, then Set up analysis
  3. Configure the query — Time period: Last 6 months (rolling) · Group by: Week · Filter: Is Active = True
  4. Add Attributes: Organization, FunctionType, TimeZone (these become your grouping options)
  5. Under metrics, select Microsoft 365 Copilot — all metrics (Collaboration network, working-hours and focus metrics are optional)
  6. Run the query, then download the result as CSV from Analysis results
Group by Week is required. Cohort tiers need at least 12 consecutive weekly rows per person, so keep the 6-month rolling window rather than shortening it.
Expected columns: PersonId, MetricDate, Total Copilot actions taken are required; Organization, FunctionType, Region, active/enabled days, assisted hours and per-app action columns are used when present.
British and Spanish column headers are translated automatically.

Intelligent Recap Usage Guidance

Microsoft does not publish an industry-wide benchmark for Intelligent Recap actions per 1,000 employees. However, observed usage shows active users average ~1.6 Intelligent Recap actions per week. When normalized by adoption rate, this typically equates to ~700–2,000 recap actions per 1,000 employees per month, depending on enablement and meeting load.
